Exporting usable reports from Shopify is surprisingly difficult without paying for third-party apps.
The native Shopify export tool only generates flat, unformatted .csv files. It leaves out critical business numbers like total inventory valuation (Stock Qty × Unit Cost), splits orders across confusing lines, and dumps raw data that requires hours of manual spreadsheet formatting. Meanwhile, reporting apps in the Shopify App Store typically charge recurring subscriptions ranging from $10 to $50 every month.
With Shop Engine, you can connect directly to your store using the Shopify Admin API and export professionally styled .xlsx workbooks to your computer for free.
Here is how to export your core business data in seconds.
Step 1: Open Shop Engine and Verify Your Connection
Before generating reports, make sure your store is linked:
- Open Shop Engine on your Windows desktop.
- If you haven’t connected your store yet, enter your store URL (e.g.,
your-store.myshopify.com) and your Admin API Access Token (shpat_...), then click Connect Store. - Once connected, you will see your active store name displayed at the top under ACTIVE SHOPIFY STORE.

Step 2: Choose the Report Type You Need
In the SELECT REPORT card, click the Report type to export dropdown to pick one of the four core data modules:
- Inventory Report:
- Downloads all active and draft products along with their variants.
- Calculates Unit Cost and Total Inventory Value automatically so you can immediately see the cash value sitting on your shelves.
- Orders Report:
- Creates a dual-tab workbook:
Orders General(order IDs, customer details, gross sales, taxes, discounts, shipping fees, payment gateways) andItems Sold(line items, variant SKUs, units sold, and item-level discounts).
- Creates a dual-tab workbook:
- Customers Report:
- Exports customer profiles, order counts, total spent, normalized phone numbers, city/country, and both Email and SMS marketing consent statuses.
- Shipping Report:
- Generates two dedicated sheets:
Shipping Overview(fulfillment IDs, carriers, tracking numbers, destination city/state) andFulfillment Details(item weights converted to your store unit, quantities, and line IDs).
- Generates two dedicated sheets:
Step 3: Set Your Date Range (Orders and Shipping)
When you select Orders Report or Shipping Report, a dynamic Period to download menu appears automatically:
- Last 30 days: Best for monthly reconciliations.
- Last 60 days: The default setting, ideal for bi-monthly comparisons.
- Last 90 days: Perfect for quarterly financial reviews.
- Full current year: Gathers all sales and shipments from January 1st to today.
- All-time history: Downloads your entire store record for complete archival.
(Note: Inventory and Catalog Audit scan your current live catalog, so they do not require date filtering).
Step 4: Click Generate Report and Open in Excel
- Click the green Generate Report button.
- A progress bar will animate while Shop Engine queries the Shopify Admin API in the background.
- When finished, a confirmation dialog appears showing the exact path where your workbook was saved (by default inside
Documents/Shop Engine Reports/Reports/YYYY). - Click Open Folder to jump straight to your file in Windows Explorer.
Every generated file opens in Microsoft Excel with automatic header styling, dark-themed header bars, freeze panes locked on row 1, and zebra striping, ready to share with your accountant or paste directly into your business spreadsheets.
